Proposal: Automated monthly general usage stats and membership reminder

Updated Proposal reflecting :earth_americas: Community Assembly 2 | October 16th feedback:

On signup and on their settings page, platform users can opt out of ‘monthly databot report’.

Voluntary opt-out means the user (a new user) would see a ticked box onscreen when they offer email address for further contact from the co-op. The ticked box would indicate their desire to receive the ‘monthly databot report’. The user will have the option to untick and opt-out of this service.

At the beginning of each month, opted in users will receive a transactional email with:

  • The user’s member-status (are they a member or not)
  • If not a member, an invite with a link to become a member
  • The current number of members
  • The increase in the number of members since the last databot report
  • The Number of Artists
  • The increase in number of Artists since the last report
  • Comma-separated list of all releases released in previous month, linked to the release detail page

Description:

Monthly, all active members receive an automated email reminding them of their membership containing the title and links to the platform’s top 5 played tracks of the previous month, excluding any tracks that have been removed. The email should also include an invitation to participate in the forum.

Should the automated email system not be available, this information should be made available via a manually generated email.

Should a member wish to opt out of this type of email, a process for opting out should be made available within the platform.

Why:

This is an easy-to-achieve performance indicator for the platform and can serve as a heartbeat / life sign for members that may not be interested in participating in online forums, but are still interested in the success of the platform and cooperative.

The member may decide to check out last month’s popular tracks and generate more plays, and therefore income, for the system.

Why automated:

So it “just happens”, like a heartbeat.

Attendees to 🌎 Community Assembly 2 | October 16th discussed this proposal and suggested several revisions that might be incorporated in a new version for further consideration.

On behalf the CA2 members, I’m sharing the suggestions here to spark your comments and any further ideas you or the community may have to improve to this proposal.

  1. Members at the Assembly suggest that this auto-email service be offered as a voluntary opt-out “databot” for interested contacts at first contact.

Voluntary opt-out means the user (a new user) would see a ticked box onscreen when they offer email address for further contact from the co-op. The ticked box would indicate their desire to receive the ‘monthly databot report’. The user will have the option to untick and opt-out of this service.

  1. The contacts receiving this offer would include the pool of all contacts currently indicating their interest in receiving email from the Coop.

(A change from the initial proposal from “members” to “all contacts”, a larger pool.)

  1. The members at CA2 suggest further consideration of potential “data-bot” content (KPIs).

Some Members feel ‘5 most played’ is not constructive data to prioritize. The argument is that such data reinforce the promotional advantages for tracks that are already well-known versus encouraging listener explorations. These members hold promotion of diversity and discovery to be more representative of the Coop’s mission and priorities.

With this in mind some examples of alternative ‘databot’ KPIs were suggested:

  • The contact’s member-status (are they a member or not)
  • If a member: the date of their expiration
  • The Number of Members
  • The increase in the number of members since the last databot report
  • The Number of Artists
  • The increase in number of Artists since the last report
  • All new releases (artist and release) since the last report
  • Total number of artists

The hope is that this proposal might be revised in light of these suggestions and offered again for consideration.

@richjensen what does this mean? A number or a list of releases?

How about a list with links? (albums not tracks)

Or a list of new artist names? (if the list of releases is unwieldy)

Was thinking some strings not just INT… :wink:

Incidentally I’ll be pushing for this to be top priority at the next assembly because I think, regardless of wether these newsletters/reminders end up having the desired effect right away or not (ie. keeping people informed and invested in the coop’s work despite low interraction with its underlying structures), we should implement this sooner rather than later.

Pushing back on the ‘send to as many contacts as possible’ line of thought to say this should be ‘send to users of the platform’ as that is what transactional emails are supposed to do - they’re not marketing emails, they’re helping the users complete tasks. In this case the task is to be an informed stakeholder in the system.
